Canada sets its own rules for what an invoice must contain and how GST/HST appears on it — and unlike most countries there is no single national rate, so the correct one depends on where the supply is made. This template handles both: pick your rate and the lines, the wording and the arithmetic follow.

What Canada Revenue Agency requires on the document

9 things have to appear before this counts as a valid invoice in Canada. The one people miss most often is the gst/hst registration number, which belongs near your business details where an accounts team looks for it.

  • Your business or trading name
  • The invoice date
  • The total amount payable
  • Your GST/HST registration number, on any invoice of $30 or more
  • The amount of GST/HST charged, or a statement that the total includes it
  • The rate applied to each item where different rates apply
  • The buyer's name or trading name, on any invoice of $150 or more
  • A description sufficient to identify each item supplied
  • The terms of payment

Place of supply decides the rate, not where you are

The single most common Canadian invoicing error is charging your own province's rate. For most supplies the rate follows the customer, which means a business in Alberta invoicing a client in Ontario charges 13% HST despite Alberta having no provincial tax at all.

  • Goods: the rate of the province where they are delivered.
  • Services: generally the rate of the province of the customer's business address.
  • A supply to a customer outside Canada is usually zero-rated, but it must still appear on the invoice as a zero-rated line.
  • Quebec administers its own QST, so a Quebec supply may need registration with Revenu Québec as well as the CRA.

Getting this wrong in either direction has a cost: undercharge and the difference comes out of your margin, overcharge and your client cannot reclaim the excess.

Why the total is not simply GST plus PST

In the provinces charging two taxes, both are calculated on the pre-tax amount rather than one stacking on the other. On $1,000 in British Columbia that is $50 GST and $70 PST — $1,120, not the $1,123.50 you would get by compounding.

  • GST 5% and PST 7% each apply to the subtotal in British Columbia.
  • Quebec's QST was compounded on the GST-inclusive amount until 2013; it is calculated on the GST-exclusive amount now.
  • HST provinces charge one combined rate on one line — do not split it into notional federal and provincial parts.
  • Show each tax on its own line with its rate named. A single merged figure is not enough for a client claiming input tax credits.

GST/HST registration and the value thresholds

The rules below only bite past a certain amount, which is what makes them easy to miss — an invoice that was fine last month becomes non-compliant the first time it crosses the line. Canada adds a second variable: which province the supply is made in.

  • Under $30: name, date and total are enough.
  • $30 to $149.99: add your GST/HST registration number and the tax charged or a statement that it is included.
  • $150 and over: add the buyer's name, the terms of payment, and a description of each item.
  • Registration becomes compulsory once worldwide taxable revenue passes $30,000 in a single quarter or over four consecutive quarters.

Frequently asked questions

What GST/HST rate should I charge in Canada?

It depends on the province. Alberta is GST 5%, British Columbia is GST 5% + PST 7%, Manitoba is GST 5% + RST 7%, New Brunswick is HST 15%, and so on — the generator lists all 13. Pick yours and the lines are added for you.

Do I need a gst/hst registration number to invoice?

You can invoice without one, but you cannot charge GST/HST without being registered. $30 to $149.99: add your GST/HST registration number and the tax charged or a statement that it is included.

Is a PDF invoice valid in Canada?

Yes. Canada places no format requirement on an invoice — it must contain the required information, not arrive in a particular file type. Keep a copy for your records for as long as your authority requires.

Can I use this template if I am not registered for tax?

Yes, and you should not show a tax line at all. Charging GST/HST while unregistered is an offence in most jurisdictions. Pick the "no tax" option and the line is omitted rather than shown as zero, which is a different statement.

Does the invoice have to be in a specific currency?

The generator defaults to CAD for Canada, which is what a domestic client expects. You can invoice in another currency for an overseas client — just state the currency clearly so there is no ambiguity about what is owed.
