A service business does not invoice one client once; it invoices the same clients on a cycle, often for work performed by staff on days the owner never saw. That changes what the invoice has to carry: the service period, what was actually done and when, who did it, and a tax treatment that varies by state and by service type. This template is set up for recurring and per-visit service billing rather than one-off project work.

Recurring and per-visit billing

Decide whether the invoice covers a period or a set of visits, and be consistent — clients reconcile against their own calendar, and a format that changes month to month generates queries.

  • Flat monthly service — one line naming the period and the scope (“Office cleaning, March 2026 — 3 visits weekly”), invoiced on the same date each month
  • Per visit — one line per visit with the date and, where it matters, the technician or stylist, so a client can tie the charge to a day
  • Contracted plus extras — the contracted service on one line and each out-of-scope job on its own, referencing the date requested
  • Usage or quantity based — units on the quantity field with the unit named (square metres, windows, machines serviced) and the rate as unit price

Invoice in advance for contracted recurring work and in arrears for variable work. Mixing the two on one invoice needs the periods spelled out on each line.

Service periods and dates

Every line should say what window it covers. “March cleaning” is ambiguous when the invoice is issued on 28 February for the month ahead; “Cleaning, 1–31 March 2026” is not. This matters most at the year boundary and whenever a client changes accounting software, because the period on the line is what the client's books use to place the expense, not your invoice date.

Sales tax on services

Whether a service is taxable is one of the least intuitive parts of US sales tax, and it is decided state by state and service by service. Several states tax most services; many tax only enumerated ones such as repair, landscaping, cleaning or personal care; a few tax almost none. The same is true of the boundary between labour and parts, which are often taxed differently on a single job. Outside the US the picture is simpler — VAT and GST generally apply to services at the standard rate once you are registered and over the threshold.

  • Charge tax based on where the service is performed or delivered, which for on-site work is the client's address, not yours
  • Split taxable parts from non-taxable labour onto separate lines where your state taxes them differently
  • Show your registration number and the tax charged; the generator's tax label is editable, so it can read Sales tax, VAT or GST
  • Re-check the rules when you start serving a new state or county — rates and taxability both vary below state level

Getting paid without chasing

Recurring service revenue only works if collection is boring. Invoice on a fixed day of the month so clients can predict it, put the payment link or bank details on the invoice itself, and keep terms short — Net 7 or Net 14 is normal for services, and Net 30 mostly just adds a fortnight of float at your expense. For clients who repeatedly pay late, moving them to payment on completion or to a card on file is a better fix than a stricter reminder schedule.

What you should not do is switch between the two formats from month to month.

Can I put a technician or staff member's name on the invoice?

Yes, and for per-visit work it usually helps: it gives the client something concrete to match against their own records and makes queries about a specific visit quick to resolve. It is common in field service, salon and repair invoicing.

What payment terms work best for a service business?

Short ones. Net 7 or Net 14 suits recurring services, and payment on completion is normal for one-off residential work. Long terms mostly transfer working capital from you to the client. For clients who consistently pay late, keeping a card on file or moving them to prepayment resolves it more reliably than escalating reminders.
